External Contact Management
The LION Report Tool allows you to send reports to external contacts such as mentors, business coaches, or stakeholders outside your organization.
Adding External Contacts
- Navigate to your user profile page
- Find the "External Contacts" section
- Click "Add Contact" to create a new external recipient
- Enter the contact's name and email address
- Optionally add their role or relationship (e.g., "Business Coach")
- Save the new contact
External contacts are managed via AJAX directly within the profile page for a seamless experience.
Selecting Report Recipients
When submitting a report, you can select from various recipient options:
- Your manager (default recipient)
- Additional internal users within your company
- External contacts you've added to your profile
This flexibility ensures that your reports reach all relevant stakeholders, both inside and outside your organization.
Managing Contact Lists
You can organize external contacts into groups for easier selection:
- In the External Contacts section, click "Create Group"
- Name the group (e.g., "Client Stakeholders")
- Add contacts to the group
- When sending reports, you can select entire groups as recipients
Privacy and Security
Important considerations when using external contacts:
- External contacts only receive the reports you explicitly send to them
- They do not have access to the LION Report Tool platform
- Reports are delivered via secure, branded email
- External contacts cannot see other recipients
Best Practices
- Review external contact list regularly to ensure it's up to date
- Consider whether sensitive information should be shared with external contacts
- Use descriptive contact names that include organization (e.g., "John Smith - Acme Corp")
- Test new external contacts with a sample report first
